Community photo policy
Some listings show photos sent in by makers who own the fragrance oil. They help you see the product; they don’t show that it’s in stock, and WickHunt doesn’t sell fragrance oils.
Who can submit
Anyone, without an account, from a listing’s “Submit a photo” link. Please only send photos you took (or that you have the authority to license). Photos copied from a supplier’s website, social media, reviews, marketplaces or search results aren’t accepted.
The permission you give
When you submit, you tick two boxes (neither is pre-ticked). Current wording, version 2026-10-draft-2:
I took this photo myself, or I have the authority to grant permission for its use. It is not copied from a supplier’s website, social media, a review, a marketplace or a search result.
By submitting this photo, I confirm that I took it or have the authority to grant permission for its use. I grant WickHunt a non-exclusive, worldwide, royalty-free license to host, reproduce, resize, crop, optimize, display, and distribute this photo as needed to operate and promote the WickHunt website. I retain ownership of my photo. I understand that my submission may be reviewed, declined, or removed.
You keep ownership. We record which license version you accepted and when, together with your submission ID. If the wording changes, earlier submissions stay under the version they accepted.
Review
Every photo is checked by a person before it appears, and only approved photos are ever shown. Photos aren’t approved automatically, whatever they look like. A photo appears only on the listing it was submitted for.
What we keep
- A re-encoded copy of your photo at display and thumbnail size. Camera details and GPS location are removed; the original file isn’t kept.
- Your caption and the name you asked to be credited as, if any. We don’t ask for your email address.
- The license version, the time you agreed, and a scrambled (hashed) form of your connection address used only to limit spam. That hash is deleted once your photo is reviewed.
If a photo is declined or removed, its image files are deleted. A short record of the decision is kept.
Removing a photo
If you submitted it: use the submission ID and removal code from your confirmation on theremoval page. The photo is hidden right away.
If you believe a photo is yours or infringes your rights: send a request from the same page with the photo ID (shown under each community photo) and a way to reach you. We may hide the photo while we look into it.
This policy is a draft and is still being reviewed. It may change; changes don’t affect photos already submitted.
